Terms of Service

Referral Sync ("the Service") is a fax-automation service for medical practices, operated by Glucosamigos PC ("we", "us"). The Service receives referral faxes on your designated routing address, extracts structured data from them, and delivers the results into a Google Sheet that you own and control. By creating an account you agree to these Terms.

Processing is billed at $0.05 per successfully extracted page. Credits are purchased in advance through Stripe in fixed increments and drawn down as pages are processed. Failed extractions are not charged.

If your balance cannot cover an incoming fax, that fax is not processed and you are notified by email. Credits remain valid while your account is active. Credit purchases are non-refundable except where required by law. We may change pricing with notice; changes do not affect credits already purchased.

You are responsible for your Google Sheet: its sharing settings, backups, and retention. Extracted results are delivered to your sheet and become your record — review them like any clinical document. You are responsible for configuring your allowed fax-sender domains and for ensuring you have the right to route the documents you send through the Service. You agree not to misuse the Service, interfere with its operation, or use it for unlawful purposes.

Extraction is automated. While we design for accuracy, results must be reviewed by your staff before clinical or administrative reliance. The Service does not provide medical advice, diagnosis, or treatment guidance.

Where your practice signs the Business Associate Agreement available in the portal, that agreement governs our handling of protected health information and controls over any conflicting provision here. If you have not signed a BAA, you should not route PHI through the Service.

We may suspend or terminate access for non-payment, misuse, or security concerns, and you may stop using the Service at any time. On termination, your obligation to pay for processing already performed survives; transient fax data is purged per our retention policies, and the Privacy Policy provisions that by their nature should survive will do so.

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT, AND WE DO NOT WARRANT THAT EXTRACTION WILL BE ERROR-FREE OR UNINTERRUPTED. OUR AGGREGATE LIABILITY ARISING OUT OF THESE TERMS OR THE SERVICE IS LIMITED TO THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS BEFORE THE CLAIM.

These Terms are governed by California law, excluding conflict-of-law rules. We may update these Terms with notice via the portal or email; continued use after an update constitutes acceptance. If any provision is unenforceable, the rest remains in effect. Questions: support@glucosamigos.com.
